NewBeauty is seeking an Executive Assistant to provide support to the executive team. This individual must be exceptionally organized and have the ability to interact with staff at all levels in a fast-paced environment, under pressure, remaining proactive, flexible, resourceful and efficient, with a high level of professionalism. This role will work closely with key executives on a number of operational and business activities.

The Executive Assistant will report directly to the Executive Vice President of Business Development while working with other executives in a support capacity


  • Plan and manage business events, team outings, and activities
  • Help with financial record keeping and goal tracking
  • Schedule and coordinate calendar appointments
  • Maintain and organize internal documents and execute mailings
  • Prepare and follow-up with various correspondence
  • Evaluate and recommend ways to optimize processes, information sharing, communication, etc. through software automation and system implementation
  • Coordinate production of printed issues with Finance and Business Operations Director
  • Assist with the organization’s personnel tasks—staff scheduling (OOO, PTO, and whereabouts; 1:1 meeting’s; organization of annual review dates, etc.)
  • Book travel, accommodation, and logistics for executive team
  • Help prepare for large staff meetings and record, organize, and distribute vital information and key follow up points
  • Read, route, and prioritize NewBeauty communications
  • Compose, type, and proofread regular correspondence
  • Work with departments to develop and store SOPs around business operations
  • Provide regular audits of products and make suggestions on how to refine


  • 1-3 years of related experience
  • Upbeat, positive, outgoing, personable, and able to relate well with diverse groups
  • Punctual and proactive individual who holds self and others to very high standards
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook
  • Excited to wear multiple hats—no job is too small or too large
  • Demonstrated commitment to completion of projects on a timely basis
  • Expert-level written, verbal communication, and typing skills
  • Ability to take initiative, multi-task, and work well under pressure
